UK COMMERCIAL

Office, retail, industrial and mixed-use.

THE CHALLENGE

Commercial Property Has More Moving Parts.

There are leases to monitor. Breaks and expiries to anticipate. Rent reviews, tenant covenant risk, voids, service charges, capex, dilapidations, refinancing, compliance responsibilities and new acquisitions.
And the question that matters across all of them: what is happening across your portfolio, and what needs your attention next?

THE SOLUTION

One System. From Acquisition to Asset Management.

Stop managing your commercial portfolio across disconnected spreadsheets, notes and reminders. This system brings your assets, leases, tenants, income, voids, capex, finance, compliance and acquisitions into one structure.
Use the printable planner when you want to think, review, make notes or work through an asset with advisers. Use Excel when you want your information connected, calculated and visible across the portfolio.

WHAT IT HELPS YOU DO

Analyse · Manage · Monitor · Grow

1

Analyse acquisitions

Due diligence, costs, NOI, NIY, cash flow, DSCR, break-even occupancy and stress testing.

2

Manage your assets

Property profiles, leases, covenant, income, arrears, voids, service charge, capex and dilapidations.

3

Monitor lease risk

Expiries, breaks, rent reviews, WAULT and tenant concentration.

4

Stay ahead of finance

Loan information, key dates and upcoming refinancing.

5

Organise compliance

Track dates, evidence and responsible parties without treating a spreadsheet as compliance certification.

6

See the bigger picture

Dashboard and KPIs bring portfolio value, debt, equity, rent, occupancy, risk and upcoming actions together.

WHAT'S INCLUDED

Four Digital Files. One Complete System.

1

Start Here Guide (PDF)

A short guide to your files: exactly what is included, which file to open first and how the parts of the system work together.

2

68-Page Printable Planner (PDF)

A structured A4 working planner with 34 sections across strategy, acquisition, asset management, finance, compliance and reference material. Print it all, or reprint just the worksheets you need.

3

Excel Asset Management System: Example Portfolio

A worked sample portfolio, provided as a practice copy. Explore the Dashboard, leases, compliance records and Deal Analyzer, and see how information moves through the system.

4

Excel Asset Management System: Clean Version

Your working copy. The same structure and formulas as the Example Portfolio, without the sample data, ready for your own records.

NOT JUST A PROPERTY SPREADSHEET

See Your Portfolio at a Glance.

Rather than keeping leases in one spreadsheet, finance somewhere else, compliance dates in a diary and acquisition calculations in another file, the Excel system connects the records that affect your portfolio.
Assets, leases, tenant covenant, income, voids, capex, loans, compliance and acquisition activity feed into one management view, including yields, cash flow, lease risk and alerts. Monitor measures such as:
Portfolio value · Debt · Equity · LTV · Passing rent · ERV · Occupancy · Arrears · WAULT · Void cost · Lease exposure · Covenant strength · Tenant concentration · Capex · Refinancing · Compliance

THE EXCEL SYSTEM

19 Connected Worksheets. One Place for Your Commercial Data.

Record an asset once, then track its leases, tenants, income, voids, capex, finance and compliance in the same system. The workbook separates your input cells from calculated cells, so the formulas keep working as you add records.
The 19 worksheets: Start Here, Settings, Dashboard, Strategy & KPI, Assets, Leases, Covenant, Lease Events, Income, Voids, Capex & Dilaps, Compliance, Refinance, Refinance Calc, Deal Analyzer, Pipeline, Due Diligence, Definitions and Lists.

ANALYSE A DEAL PROPERLY

Gross Yield Tells Only Part of the Story.

The Deal Analysis framework goes further, bringing acquisition costs, income, landlord costs, finance and risk into one view. Analyse:
Purchase price · VAT assumptions · Transaction tax · Professional and acquisition costs · Passing rent · ERV · Void allowance · Operating costs · Capex allowance · Loan and interest rate · Debt service · NOI · Cash flow · Cash required · Cash-on-cash return · Gross yield · NIY · Yield on total acquisition cost · Reversionary yield · DSCR · Break-even occupancy
Test the impact of an interest-rate rise, a rent fall, or both together. A worked example in the planner shows how different a deal can look once costs, finance and cash flow are considered alongside gross yield.
Keep opportunities organised from first lead to outcome in the Acquisition Pipeline, and capture what matters during assessment with the viewing and commercial due-diligence frameworks: title, lease abstracts, surveys, environmental and asbestos, planning, service charge history, tenant covenant, insurance, capex, finance, valuation, tax and VAT.
The yields and ratios are comparison metrics, not formal valuations, lender underwriting tests or investment advice.

MANAGE THE ASSETS YOU ALREADY OWN

Never Miss What Matters.

  • Asset profiles: sector, tenure, owning entity, area, value, debt, passing rent, ERV, occupancy, WAULT, service charge, tenant mix, capex and risks for each property.
  • Leases and lease events: tenants, vacant units, rent, ERV, expiries, breaks and rent reviews, plus lease abstracts so key terms are never buried in long documents.
  • Tenant and covenant risk: covenant reviews, tenant exposure and concentration across the portfolio.
  • Income and arrears: rent due and received, with arrears kept visible.
  • Voids: the real cost of vacant space, including rent foregone and holding costs.
  • Service charge: budgets, actual costs, recovery and unrecoverable expenditure.
  • Capex and dilapidations: plan, record and budget works.
  • Finance and refinance: commercial loans and key dates, with refinancing visible before it becomes urgent.

COMMERCIAL COMPLIANCE

Organised Tracking, Without Pretending a Spreadsheet Can Certify Compliance.

The system includes commercial compliance principles, a Responsible Party Matrix and a Compliance Certificate Tracker.
Responsibilities can depend on the property, the jurisdiction, the lease and who controls each part of the premises. So the planner prompts you to identify the applicable jurisdiction and the responsible party, rather than assuming every duty belongs to the landlord.
Compliance information is an organisational tracking framework, not legal certification.

PRINT IT. USE IT DIGITALLY. OR BOTH.

A Comprehensive 68-Page Printable Planner.

The planner gives you room to think, make notes and work through decisions. The Excel system provides scale, calculation and portfolio-level visibility. The two parts have deliberately different jobs.
  • Investment criteria, annual goals and asset business plans
  • Portfolio targets, risk limits and quarterly reviews
  • Portfolio Dashboard and KPI Scorecard
  • Viewing notes, due diligence and deal analysis
  • Lease abstracts and asset profiles
  • Action planning and reference material
You may reprint the blank worksheets, such as extra Asset Profiles and Deal Analysis sheets, for your own personal or business record-keeping.

A REPEATABLE MANAGEMENT ROUTINE

More Than a Collection of Templates.

STRATEGY → ACQUIRE → MANAGE → MONITOR → REFINANCE → REVIEW

The workflow divides activities into setup, monthly, quarterly, acquisition and annual tasks: recording assets, leases and loans; reviewing income, voids, lease events and capex; checking portfolio KPIs, covenant exposure and refinancing; analysing new acquisitions; and resetting annual plans.

3

4

BUILT FOR UK COMMERCIAL PROPERTY

Designed Around the Four UK Nations.

The system recognises that rules are not identical across England, Wales, Scotland and Northern Ireland, with jurisdiction fields and prompts for transaction tax and VAT, lease issues, responsible parties and compliance.
SDLT applies in England and Northern Ireland, LBTT in Scotland and LTT in Wales. Rather than hard-coding rates that change, the planner directs you to current official calculations. Content in this edition was verified to September 2026.

WHO IS THIS FOR?

For Commercial Portfolios of Any Size.

  • People who own, manage or are assessing UK commercial property
  • Portfolios with office, retail, industrial and mixed-use assets
  • Anyone whose spreadsheets, notes and calendar reminders no longer give a clear portfolio-level picture
You do not need an institutional portfolio. Start building good management habits while your portfolio is small, and keep using the system as assets, leases and events grow.

QUESTIONS

Commercial System FAQ

Four digital files: a Start Here guide (PDF), the 68-page Printable Commercial Property Planner (PDF), an Excel Example Portfolio and an Excel Clean Version for your own portfolio. The Example and Clean workbooks are the same system: one demonstrates it with sample data, the other is your working copy.

Once your purchase is complete, your files are emailed to the address you use at checkout, together in one zip folder. Each file is personalised with “Registered to” and your name.

No. The Printable Planner is one half of the product. The other is the linked Excel Asset Management System, which provides the calculation and portfolio-management side of the system.

The Example Portfolio is a practice copy containing a worked sample portfolio, so you can see how the areas of the workbook operate together. The Clean Version has the same structure without the sample data and is the file intended for your own records.

Open 01_START_HERE first. Then review the Printable Planner before exploring the Example Portfolio. Once you are familiar with the system, save your own copy of the Clean Version and begin entering your records.

The workbooks are designed for Microsoft Excel 2019, Excel 2021, Excel 2024 and Microsoft 365. Other versions and spreadsheet applications may vary. The PDFs open in any PDF reader.

The system is designed for Microsoft Excel. Other spreadsheet applications may behave differently, so full compatibility outside the supported Excel versions is not promised.

No. The workbook distinguishes input cells from calculated cells, and the Start Here guide explains how to begin. Just avoid overwriting formula cells.

Yes. It includes acquisition pipeline management, commercial due diligence and detailed deal analysis covering acquisition costs, income, operating costs, finance, NOI, cash flow, yields, DSCR, break-even occupancy and stress scenarios.

Yes. It includes lease schedules and lease-event management covering rent, ERV, expiries, breaks and reviews, together with lease abstracts, covenant reviews, tenant concentration and lease-expiry exposure.

Yes. Rent due and received is part of the monthly routine, arrears stay visible in the wider portfolio picture, and a Void Cost Analysis shows the financial impact of empty space.

Yes. The planner includes a Service Charge & Recoverability Review and a Capex & Dilapidations Log, and commercial mortgages and refinancing form a dedicated part of the system and the ongoing workflow.

No, and this is important. The compliance tools are tracking and organisational prompts, not legal certification. A blank, current or “OK” status does not prove that an asset complies with the law. Requirements and responsibility can depend on the asset, lease, jurisdiction and who controls the premises.

No. The system is an organisational and educational tool. The yields and ratios are comparison metrics rather than formal valuations or lender underwriting tests.
